 DUTIES AND RESPONSIBILITIES

1. Manages all incoming and outgoing documents  of  the Procurement Unit using the Document Management System (DMS) and logbooks to effectively monitor the status of all documents;

2. Prepares routinely documents through submission of accomplished and complete request forms to intended recipients to ensure efficient daily operations;

3. Provides administrative  support on the preparation, during, and post events/activities  initiated by the Procurement Unit to ensure smooth implementation of the event/activity;

4. Assigns control number in the PR by allotting a unique series number in the document based on the Government Accounting Manual (GAM) for record and reference purposes;

5. Creates record in the PR Monitoring Sheet by encoding the details of the PR including the assigned purchaser for record and tracking of transaction;

6. Posts awarded contracts by posting related procurement documents in the PhilGEPS and OVP website for transparency and information purposes;

7. Facilitates the supplies by timely submission of requests and reports for effective office supply management; and

8. Substitutes for other administrative officer/assistant in case of absence to ensure continuous office operations.
