 DUTIES AND RESPONSIBILITIES

1. Encodes entries in the registry of active, inactive, and obsolete OVP records;

2. Receives documents and records for archiving and scans the same upon the confirmation of the VP Staff Officer concerned on its completeness;

3. Provides administrative support on the preparation, during, and post events/activities initiated by the Division to ensure smooth implementation of the event/activity;

4. Disseminates relevant and official information within the Division from channels such as One OVP website, Central Record Unit’s (CRU’s) emails, Administrative Officer (AO) group chat, calendar invites, BiSentral, etc., to ensure effective and efficient internal communications;

5. Maintains organized and user-friendly filing scheme within the Division and references (e.g. list of references, directory of external and internal partners, etc.) to ensure materials are easily accessible for smooth office operation;

6. Manages all incoming and outgoing documents of the Division using the Documents Management System (DMS) and logbooks to effectively monitor the status of all documents;

7. Prepares routinely documents for the Division through submission of accomplished and complete request forms to intended recipients to ensure efficient daily operations; 

8. Facilitates the Division’s supplies by timely submission of requests and reports to the Property and Procurement Unit for effective office supply management;

9. Monitors active and inactive records by conducting a quarterly inventory and submission of the NAP Form 1 for proper record disposition internal partners, etc.) to ensure materials are easily accessible for smooth office operation; and

10. Substitutes for other staff officers in case of absence to ensure continuous office operations.
